Our commitment

Vitagri does not send unsolicited commercial email ("spam"). Every message we send is to someone who has either explicitly asked to hear from us, or who has a pre-existing professional relationship with us where research correspondence is reasonably expected.

This policy explains the rules we hold ourselves to, in line with the UK Privacy and Electronic Communications Regulations (PECR), the UK GDPR, and the Data Protection Act 2018.

1. Opt-in only

You are added to a Vitagri mailing list only when one of the following is true:

  • You have ticked an opt-in box on a form on our website (a "soft opt-in" via pre-ticked checkboxes is never used).
  • You have subscribed directly via Substack, Mailchimp, or a comparable double opt-in mailing tool.
  • You have applied for a Research Partner account, in which case service-related emails (account confirmations, trial expiry notices, partnership briefings) are part of the agreed service.
  • You are a named contact at a body where research correspondence is part of an existing professional relationship — for example, a co-author, peer reviewer, journalist who has covered our work, or named representative at a partner organisation.

2. Easy unsubscribe in every message

Every marketing email we send carries a one-click unsubscribe link in the footer. Unsubscribes are honoured immediately — at most within 24 hours — and you will not be added back to any list without a fresh opt-in.

If you ever cannot find or use the unsubscribe link, simply reply to the email with the word unsubscribe, or email us via the contact page. We will action your request and confirm.

3. Transactional vs. marketing email

We distinguish between:

  • Transactional email — account confirmations, magic-link sign-in codes, trial-expiry notices, password recoveries, security alerts. These are essential to operate the service you signed up for and you cannot opt out of these while the account is active. The remedy is to close the account.
  • Marketing email — the weekly bulletin, newsletter editions, occasional Vitagri announcements. You can unsubscribe from any of these at any time without affecting your account.

4. What we will never do

  • Buy, rent, sell, or share email lists with third parties.
  • Scrape email addresses from public websites or LinkedIn for commercial outreach.
  • Use deceptive subject lines, hidden sender identities, or misleading "From" names.
  • Continue mailing you after you have unsubscribed.
  • Use pre-ticked consent boxes or bury opt-out language in fine print.

5. Frequency

We aim to send the weekly bulletin no more than once per week, and Vitagri organisational announcements no more than once a month. Personal correspondence from a named member of the team is sent only when there is a specific reason to write to you.

6. Identifying a Vitagri email

Genuine Vitagri email comes from @vitagri.org or from our newsletter platform on our behalf (Substack: @substack.com; Resend: @resend.dev). It will always include a postal contact, an unsubscribe option, and a link back to vitagri.org. If something looks off, please let us know — we take impersonation seriously.

7. Reporting spam from Vitagri

If you believe you have received a Vitagri email you did not opt in to, please:

  1. Use the unsubscribe link in the message — this stops further mail immediately.
  2. Email us via the contact page with the subject "Unsolicited mail" and forward the offending message. We will investigate within 5 working days.
  3. If you are unhappy with our response, you may complain to the UK Information Commissioner's Office (ico.org.uk).

8. Third-party processors

We use Substack, Mailchimp and Resend as email processors. These providers act under data-processing agreements that require them to honour unsubscribes and respect UK PECR / GDPR. We do not authorise any provider to send promotional content from us beyond what is described in our Privacy Policy.

9. Updates to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the latest version. Material changes will be highlighted on the homepage for at least 14 days.
